What time frame am I paying for?

The fees will range depending on how much time a particular speaker is intending to perform. Don?t assume that because you are scheduling a half day event with your company that this is how long a speaker is planning to speak. Make sure the timeframe is defined so you are getting the most out of your event and speaker.

Are there any hidden costs (i.e. materials, books, workbooks, etc.)?

In some cases a speaker will have materials that will be used during his event. Do not assume that these are included in the negotiated price. In some cases a speaker will charge an amount per participant for these materials. This should be stated in the contract.



What are the travel fees and requirements?

Once again this should be outlined in the contract, but be sure there is a clear understanding what any travel fees/charges include. There is a wide range of travel charges amongst speakers and how they handle the reimbursement of such charges. There is also a potential difference in how the speaker travels. Also double check for any specific riders that may be included in the contract.

What are the production and set up requirements and/or needs?

Every speaker is different in what is required to put on the event. Especially if at an off site location, make sure that all the particular production equipment necessary is reviewed and agreed upon (i.e. hand held mic or mic pack, projector, lighting, etc.). Something will inevitably be overlooked, but if the major requirements are met the speaker should be able to adapt to the minor things.



What should I expect before and after the event?

Will there be any pre or post preparation for the event and will this be charged outside of the contract. Is there any of this included? To get the most of your event there should be some preparation and follow up included.
